1.What acolá is

acolá is software as a service (SaaS) for psychologists, psychoanalysts and psychiatrists practicing in Brazil. It brings together scheduling, protected electronic clinical records, practice finances, an AI assistant for session summaries and a patient portal with a daily mood log and reminders.

acolá is a support tool. It does not provide clinical care, does not diagnose and does not replace the professional's judgment.

The service is provided by Costa e Vieira Tecnologia da Informação Ltda., CNPJ 64.146.166/0001-01, headquartered at Rua Pais Leme, 215, suite 1713, Pinheiros, São Paulo/SP, Brazil, ZIP 05424-150, referred to here as “acolá” or “we”.

2.Sign-up and account

To use acolá as a professional, you must be 18 or older, provide accurate information and, where your profession requires it, hold an active council registration (CRP or CRM). We may ask for proof of registration.

Each practice or clinic is an isolated account. You are responsible for keeping your password and your authenticator (TOTP) confidential and for everything done with your credentials. Two-step verification is mandatory for anyone who accesses clinical content.

If you notice misuse of your account, tell us right away at encarregado@acola.com.br.

3.Access roles

An account has five roles: admin, professional, receptionist, finance and patient. Each role sees only what its job needs. Receptionists and finance never access clinical content, and a professional cannot access the records of another professional's patients.

The admin invites users, assigns roles and adjusts permissions, and is accountable for the people they invite and for removing access for those who leave the team. A solo professional holds both the admin and professional roles.

4.Professional responsibilities

The professional is technically and ethically responsible for the care provided, for the content of the clinical record and for complying with their council's rules, such as professional confidentiality and mandatory record keeping.

For patient data, the professional or clinic is the controller under the LGPD (Brazil's General Data Protection Law), and acolá acts as the processor, handling that data only on the controller's instructions and under these terms. The professional is responsible for obtaining the necessary consents, such as the patient's consent to use the AI assistant.

5.Clinical records and confidentiality

Clinical content opens only for the responsible professional, who confirms their identity with a passkey or the authenticator app code, after signing in with two-step verification. After a period of inactivity (15 minutes by default), or when switching patients, the confirmation is required again. Every opening is logged in the audit trail.

If you lose access to your authenticator, use one of the recovery codes generated at setup. Without TOTP and without recovery codes, a reset requires identity verification.

Legal retention periods for clinical records are described in the Privacy policy. During those periods, clinical records are not deleted, even if the account is closed.

6.AI assistant

The assistant summarizes sessions from the professional's notes and suggests points for reflection. Everything it produces is a suggestion: the professional approves, edits or discards the summary before it enters the record.

The assistant only works for patients who have given recorded consent, and only inside a record opened with TOTP. Data sent to the AI provider is pseudonymized, and our contract with the provider prohibits retention and use for training.

AI can be wrong. acolá does not diagnose or make clinical decisions, and the professional is responsible for what they record and for the course of action taken.

7.Patient portal

Patients access the portal by invitation from their professional, with their own login. There they can book and reschedule within the practice's rules, log how they feel each day, receive appointment and medication reminders, and view receipts and issued documents.

The patient portal is not an emergency channel. In a crisis, go to the nearest emergency service, call 192 (SAMU) or reach CVV at 188, 24 hours a day.

8.Plan, trial and payment

At launch, the plan costs R$ 99.90 per professional per month. After launch, the monthly plan costs R$ 119.90 per professional per month and the discounted annual plan R$ 109.90 per professional per month. Receptionist, finance and patient roles are not charged.

New accounts get a free trial, for the number of days shown at sign-up, with no charge and no card. When the trial ends, use depends on a subscription, and billing only starts if you choose to continue and add a payment method.

The subscription is monthly, renews automatically and is charged at the start of each cycle. You can cancel at any time; cancellation takes effect at the end of the cycle already paid, with no fee. Price changes are announced at least 30 days in advance.

9.Acceptable use

You may not use acolá for unlawful purposes, share credentials, try to access data from other accounts, bypass security controls, reverse engineer the service or intentionally overload it.

We may suspend an account that breaches these terms or puts other users' security at risk, notifying the holder whenever that does not hinder the investigation.

10.Availability

We work to keep acolá available and secure, with encrypted backups. Scheduled maintenance is announced in advance. We do not guarantee uninterrupted or error-free operation.

11.Intellectual property

The software, the acolá brand and the site materials belong to us. You receive a personal, non-transferable, non-exclusive license to use them while your subscription is active.

The data you and your patients enter remains yours. We do not use it for anything other than providing the service.

12.Limitation of liability

To the extent permitted by law, we are not liable for clinical decisions, for damage caused by misuse of credentials in your care or for lost profits. Nothing in these terms limits rights guaranteed by the Consumer Protection Code or the LGPD.

13.Closing your account

Before closing, you can export your data. Account and billing data are deleted after the applicable legal and tax periods.

Because keeping clinical records is a legal obligation, they are not deleted right away: they stay blocked until the end of the retention period, accessible only to the responsible professional, with the same confirmation, and are then deleted or anonymized.

14.Changes to these terms

We may update these terms. Material changes are announced by e-mail and inside acolá at least 30 days in advance. Continuing to use the service after that means you accept the new version.

15.Governing law and venue

These terms are governed by Brazilian law. Any dispute related to them will be settled in the courts of the customer's domicile.
